Melkior tech d.o.o. is a company specialized in business and management consulting, with an emphasis on supporting innovative companies in the process of digital transformation and validation of new technologies. They help companies improve their business and drive growth through the use of new AI technologies in sales, operations, procurement and customer support.
Challenge: How to improve the information of conference participants and webinars?
Melkior tech works closely with WOOM.zone, the Croatian platform for organizing virtual and hybrid events, which has established itself in the field of online education, webinars and conferences since 2020. WOOM.zone already operates with a high degree of digitalisation – through its own digital event system, analytical tools and modules such as WoomConnect. Melkior tech also wants to examine the possibility of adding an AI chatbot (virtual assistant) to the WOOM.zone platform. A virtual AI assistant would answer queries about dates, dates, topics, or changes to events, and would be available to users via WhatsApp.
Melkior tech believes that the use of large language models and WhatsApp could further improve communication with conference and event attendees. He wants to check what such a solution would look like and how it would work in real conditions. He also wants to check if the AI chatbot on WhatsApp would be reliable and scalable, what added value it would provide to conference participants, and how much the implementation of such a solution would cost.
Solution: Testing before investing an AI assistant on WhatsApp
Melkior tech has expressed interest in free service Pre-investment testing (Test before invest) at the EDIH Adria consortium. As part of the TBI activities, several workshops were held with representatives of Melkior tech and the expert team of EDIH Adria. Melkior tech provided the database necessary for the creation and testing of the AI assistant prototype. The database consists of the most common questions that may arise during an event, such as: ‘What lecture is at 10 a.m.’, ‘In which room is the lecture X’, etc.
EDIH Adria's expert team created a prototype of AI chatbot on WhatsApp, which Melkior tech then tested through about 40 different questions. They included simple informational questions (for example, about the dates and locations of lectures), time sequence questions (what happens before, after or at the same time), and planning logic questions (for example, how to avoid overlapping activities or what precedes a specific event).
Prototype characteristics:
- Virtual assistant, i.e. chatbot with the characteristics of artificial intelligence
- Available through WhatsApp channel
- It uses the advanced capabilities of artificial intelligence, i.e. technology Large Language Models ( Large language models)
- Allows event and conference participants to use WhatsApp send the organizer questions about the dates, schedule and locations of individual lectures, performances, performances etc.
- It gives real-time answers on the schedule of events, changes, dates, possible overlaps, etc.
- Can at the same time correspond to a large number of users
- Available 0-24, every day of the week
- It can be quick and easy update i expand

TBI Project Outcomes
In addition to the prototype AI assistant, the expert team of EDIH Adria has prepared a final report for Melkior Tech as part of the free pre-investment testing service, which contains:
- Technical specifications, i.e. a description of a potential system (AI chatbot) to further inform participants of events and conferences via WhatsApp
- Analysis of test results and key benefits of the tested solution
- Estimating the cost of building and implementing AI chatbots
‘Through this process, we have gained useful knowledge about the new possibilities of platform solutions for creating AI chatbots. It allowed us to test one idea for technological innovation based on artificial intelligence and WhatsApp, which would further improve communication with conference participants, webinars and other events, without cost and risk, and with the guidance of verified experts. - Scalability and flexibility. AI chatbots can simultaneously “talk” to an unlimited number of users.
